King of Kings Lutheran Church (“King of Kings,” “we,” “us,” or “our”) respects the privacy of our members, guests, donors, and website visitors. This Privacy Policy explains what personal information we collect, how we use and share it, the choices you have, and how to contact us with questions or requests. This Policy applies to information collected through https://www.kingofkings.org (the “Site”), our social media pages, online giving and event-registration tools, and in-person ministry programs.

1. Information We Collect

We collect information in the following categories, depending on how you interact with us:

1.1 Information You Provide Directly

  • Contact information, such as name, mailing address, email address, and phone number, when you fill out a visitor card, contact form, prayer request, or newsletter sign-up.
  • Giving and donation information, such as name, billing address, giving history, and pledge information. Payment card and bank-account information are processed by the payment processors used with our online giving tools.
  • Membership, household, attendance, group, volunteer, and event information maintained through Planning Center and related ministry tools.
  • Children’s and student ministry information, such as a minor’s name, age or grade, parent or guardian contact information, emergency details, and check-in/check-out records, provided by a parent or guardian.
  • Information submitted for classes, groups, camps, retreats, and other events; employment and volunteer applications; and background-screening information where applicable.
  • Communications, including information you include when you email, call, text, message, or otherwise correspond with our staff or volunteers.

1.2 Information Collected Automatically

  • Device and usage data, such as IP address, browser type, operating system, referring or exit pages, pages viewed, and interactions with the Site.
  • Cookies, pixels, and similar technologies used to operate the Site, understand Site use, measure advertising, and deliver relevant advertising, as described in Section 5.
  • Audio, video, and photographs captured during services, events, or other ministry activities. Recordings may be published through the Site, livestreams, social media, or other platforms, as permitted by our applicable practices and consents.

1.3 Information from Third Parties

  • Information from payment processors, Planning Center, Checkr, and other service providers that support our ministry operations.
  • Information from social media platforms when you interact with our pages or content, subject to those platforms’ privacy policies.
  • Information from advertising and analytics partners, including Meta, Google Analytics, and Microsoft Clarity, as described in Section 5.

2. How We Use Your Information

We use the information we collect to:

  • Communicate with you about services, events, ministries, pastoral care, and church business.
  • Process and record donations, pledges, and giving statements, including for tax-receipt purposes.
  • Maintain membership, household, attendance, event, and volunteer records.
  • Operate children’s and student ministry check-in/check-out and safety procedures.
  • Register and manage participation in classes, groups, camps, retreats, and events.
  • Evaluate volunteer and employment applications, including background screening where applicable.
  • Operate, maintain, secure, and improve the Site and our online services.
  • Send email and text communications through Clearstream, Engage, and related systems in accordance with applicable law and your communication preferences.
  • Measure, analyze, and improve our outreach and advertising as described in Section 5.
  • Comply with legal obligations and protect the safety of our congregation, staff, volunteers, and visitors.

We do not sell personal information for monetary consideration. However, when we use advertising technologies such as the Meta Pixel, limited technical information is disclosed to Meta for measurement and advertising purposes. Some privacy laws use the word “share” more broadly than its ordinary meaning for certain advertising disclosures.

3. Children’s Privacy

Our children’s and student ministries collect limited information about minors from a parent or legal guardian for check-in/check-out safety, classroom placement, emergency contact, and related ministry purposes. Our Site is not directed to children under 13, and we do not knowingly collect personal information directly from children under 13 through the Site. If you believe a child has provided personal information directly to us without parental involvement, please contact us using the information in Section 11.

Photographs, first names, or video of minors may appear in church publications, livestreams, or social media posts of services and events, as permitted by our applicable practices and consents. Parents or guardians may contact us using the information in Section 11 with questions about a child’s information or media use.

4. How We Share Information

We share personal information only as described below or as otherwise disclosed at the time of collection.

4.1 Service Providers

We share information with vendors that perform services on our behalf, including:

  • Planning Center for church management, registrations, check-in, and related ministry functions.
  • Waypoint for personalized next steps, and Apollos for the King of Kings app.
  • Payment processors used with our online giving tools, to process donations.
  • Clearstream, Sendgrid, and our internal Engage tool, to manage email, text, and communication automations.
  • Zapier, to connect approved systems and automate workflows.
  • Checkr, for volunteer and employment background screening where applicable.
  • Website hosting, security, IT, video-hosting, livestreaming, and other technology providers that support our Site and ministry operations.

4.2 Advertising and Analytics Partners

We disclose limited technical information to Meta, Google Analytics, and Microsoft Clarity as described in Section 5 so we can understand Site use, measure advertising, and improve our outreach.

4.3 Legal and Safety Reasons

  • To comply with a subpoena, court order, or other legal process.
  • To protect the safety of a child, congregant, staff member, volunteer, or the public, including reporting suspected abuse when required by law.
  • To protect against fraud, security incidents, or technical issues.
  • In connection with a merger, affiliation, or reorganization of our ministry, subject to this Policy.

5. Cookies, Tracking Technologies, and Online Advertising

Like most websites, the Site uses cookies and similar technologies, including pixels and tags, to operate the Site, remember preferences, understand how visitors use the Site, measure advertising, and deliver relevant advertising.

5.1 Types of Technologies We Use

  • Essential technologies that help the Site and online forms function.
  • Google Analytics, which helps us understand how visitors use the Site.
  • Microsoft Clarity, which helps us understand Site interaction patterns, such as page visits, clicks, and scrolling, so we can improve the Site.
  • The Meta Pixel, which helps us measure and improve advertising on Meta products, including Facebook and Instagram.

5.2 Meta Pixel

The Site uses the Meta Pixel, a tool provided by Meta Platforms, Inc. The Meta Pixel may collect or receive information such as your IP address, browser and device information, pages viewed, and actions you take on the Site. If you are logged in to Facebook or Instagram, Meta may be able to associate this information with your Meta account under Meta’s own policies.

We use the Meta Pixel to measure the effectiveness of our Facebook and Instagram advertising and to help us deliver relevant advertising. Meta’s use of information collected through the Pixel is governed by Meta’s own policies. Learn more at https://www.facebook.com/policy.php.

5.3 Your Cookie and Advertising Choices

  • Browser controls: Most browsers allow you to block or delete cookies through browser settings.
  • Meta Ad Preferences: You can manage advertising preferences for Facebook and Instagram through https://www.facebook.com/adpreferences.
  • Digital Advertising Alliance WebChoices: You can request opt-outs of interest-based advertising from participating companies at https://optout.aboutads.info/.
  • Network Advertising Initiative: You can learn about privacy choices and advertising opt-outs at https://thenai.org/how-to-opt-out/.

These choices are generally browser- or device-specific, may be affected by deleting browser cookies, and do not stop all advertising. They also do not unsubscribe you from email or text messages you have chosen to receive. You may manage direct communications by using the unsubscribe or STOP instructions included in those messages.

6. Your Privacy Choices and Rights

Depending on where you live and applicable law, you may have rights to request access to, correction of, or deletion of personal information we hold about you. To make a request, contact us using the information in Section 11. We may need to verify your identity before responding and may retain information where permitted or required by law, including for tax, safety, security, or recordkeeping purposes.

If applicable law gives you a right to opt out of targeted advertising or certain disclosures of personal information, use the choices described in Section 5 and contact us if you need assistance. We will not discriminate against you for exercising applicable privacy rights.

7. Data Retention

We retain personal information for as long as reasonably necessary for the purposes described in this Policy, including ministry operations, giving and tax records, safety, and legal obligations. Children’s check-in and safety records are retained in accordance with our applicable policies. We may retain information longer where required or permitted by law.

8. Data Security

We use reasonable administrative, technical, and physical safeguards designed to protect personal information from unauthorized access, use, or disclosure. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

9. Third-Party Links and Platforms

The Site and our communications may link to third-party websites and platforms, such as social media, video platforms, and giving providers. This Policy does not apply to those third parties. We encourage you to review their privacy policies separately.

10. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, ministries, or legal requirements. We will post the updated Policy on the Site with a revised Last Updated date.
